This role is critical in supporting our recruiting team by managing interview logistics, documentation, candidate communications, and utilizing data analytics to drive decision-making and continuous improvement. The ideal candidate brings not only strong coordination skills but also a proactive mindset for identifying and recommending process improvements, managing projects, and using data to streamline recruiting operations.

Responsibilities and Opportunities:

Interview Coordination (Virtual & Onsite)
  • Coordinate all aspects of the interview process, including scheduling interviews with candidates, internal stakeholders, and debrief meetings.
  • Manage interview rescheduling requests and last-minute changes with efficiency and professionalism.
  • Coordinate and facilitate onsite interviews, including travel logistics, room reservations, tech setup, and providing hospitality support.
  • Serve as the onsite point of contact to guide candidates and address real-time needs during interviews.
  • Track and analyze interview scheduling metrics (e.g., time-to-schedule, reschedule rates) to identify bottlenecks and improve efficiency.
Candidate Communication & Documentation
  • Draft and send offer letters, ensuring all required information is accurate and compliant with internal standards.
  • Send, track, and manage candidate Non-Disclosure Agreements (NDAs).
  • Partner closely with recruiters, hiring managers, and other team members to ensure a seamless hiring experience for all stakeholders.
  • Monitor and report on candidate engagement data to help improve communication effectiveness and candidate satisfaction.
System, Data & Analytics Management
  • Open new job requisitions in our Applicant Tracking System (Gem) as requested by the recruiting team.
  • Conduct regular audits to ensure data integrity across recruiting systems.
  • Generate and analyze recruiting reports and dashboards to support decision-making and performance tracking.
  • Partner with the cross functional talent team members to support deeper insights into recruiting trends and opportunities.
Process Improvement, Analytics & Project Support
  • Identify and recommend opportunities to improve recruiting workflows and team efficiency using both qualitative and quantitative data.
  • Support and lead talent acquisition operations projects—such as scheduling process updates, system audits, or candidate experience initiatives—to drive continuous improvement.
  • Use data analytics to evaluate the impact of process changes, identify trends, and optimize recruiting operations.
  • Assist with ad-hoc projects and initiatives as assigned by the Talent Acquisition Operations team.

Qualifications:

  • 3–4 years of experience in a recruiting coordination, HR, or administrative support role (preferably in a fast-paced, start-up or high-growth environment).
  • Proven ability to manage multiple competing priorities in a deadline-driven environment.
  • Demonstrated experience in project coordination or process improvement initiatives.
  • Experience using data to identify trends and make process improvements within recruiting or HR functions.
  • Excellent written and verbal communication skills.
  • Extensive ATS configuration and reporting experience
  • High attention to detail and ability to maintain accuracy in a fast-paced setting.
  • Strong interpersonal skills and a team-oriented attitude.
  • Ability to handle confidential information with professionalism and discretion.
  • Proficient with Google Workspace or Microsoft Office Suite.
  • Experience with Excel/Sheets formulas, pivot tables, and basic data visualization.
Compensation: At Groq, a competitive base salary is part of our comprehensive compensation package, which includes equity and benefits. For this role, the base salary range is $76,000 to $100,000, determined by your skills, qualifications, experience and internal benchmarks.
