About the role

As an Executive Assistant at our dynamic B2B SaaS startup, you will be an essential part of our core team, providing comprehensive support to our founding executive team (the CEO & CPO). This role is crucial for maintaining and enhancing the efficiency of our operations. You will work closely with key members of our team, including direct interaction with our senior leaders. The ideal candidate will be motivated to engage deeply with the strategic and operational aspects of the business, providing a path for significant professional growth and insight into the inner workings of a fast-growing tech company.

What you'll do

  • Executive Partner: The ideal candidate will identify areas of improvement in not just our tools & processes, but also in our leadership's individual approaches and their impacts to the broader team. You should be comfortable giving direct feedback to our leadership team on approaches or patterns we should consider. You should understand our key objectives and priorities as they constantly evolve, and help us identify opportunities to execute to these objectives more effectively.
  • Calendar Management: Organize and prioritize complex schedules with a focus on efficient time management and coordination of business priorities. Partner with leadership to understand their scheduling priorities, and over time be able to make autonomous determinations where possible to proactively enable completion of key priorities across the team.
  • Communication Management: Screen and direct incoming communications, including emails and phone calls, to identify priority matters for immediate attention. As a representation of our brand to key stakeholders such as investors and key technology partners, it is critical that communication be clear and professional but also express our obsession with delivering value to our stakeholders, and our culture of not taking ourselves more seriously than this objective.
  • Customer and Partner Engagement: Schedule and confirm appointments with customers and business partners. Where appropriate assist with logging and and tracking data, notes, and follow-up tasks in our CRM system.
  • Operational Support: Assist with a variety of back-office tasks including data entry into our CRM system, managing expense reports, and other administrative activities that support our business operations. Ability to support development of presentation materials for internal and external needs is a bonus.
  • Strategic Partnership: Play an active role in the coordination, organization, and execution of strategic meetings, offering logistical support and potentially contributing to discussion on strategic initiatives. Assist in the planning and structure of planning sessions, board meetings, and team off-sites. Track follow-up items and where appropriate MC meetings to keep teams on track. Over time, there may be opportunities to take on direct roles in project management, operations, and strategy execution.

Qualifications

  • Experience: Proven experience as an executive assistant or in a similar role, preferably within a tech or startup environment.
  • Technical Skills: Proficiency in Google G-Suite (Gmail, Google Calendar, Google Drive), Slack, Miro, Hubspot, and MS Office or similar suites. Ability to quickly learn new tools and technologies is essential.
  • Communication Skills: Excellent verbal and written communication skills. Must be able to handle complex and sensitive communications with discretion and professionalism.
  • Organizational Skills: Exceptional organizational and time management skills; able to manage multiple priorities simultaneously while maintaining attention to detail.
  • Proactive Approach: Ability to anticipate needs and act upon them without direct supervision, demonstrating initiative and the ability to work independently.
  • Adaptability: Comfortable working in a fast-paced, ever-changing environment. Willingness to expand your role and responsibilities as the business evolves.
Compensation
The compensation for this role includes base compensation paid semi-monthly (ranges provided below), a quarterly bonus plan, and equity incentives under the company's incentive stock option plan.
